
All the Rotary Clubs will be divided into three divisions. There will be awards given out to the 1st and 2nd place finishers within each of the Divisions for selected categories. The Divisions are based on the following membership sizes as determined by the 7/1/09 RI SAR :
Small Club Division - 15 Clubs (0-24 Members):
Diamond Head, Hawaii Kai, Kalepa Sunrise, Kapolei Sunset, Kihei Sunrise, Kona Mauka, Kona Sunrise, Mililani Sunrise, Pahoa Sunset, Upcountry Maui, Valley Isle Sunset, Wailuku, West Kauai, West Pearl Harbor, Windward Oahu Sunrise.
Medium Club Division - 17 Clubs (25-41 Members):
Ala Moana, Downtown Honolulu, Honolulu Pau Hana, Kaneohe, Kapaa, Kapolei, Kauai, Lahaina, Lahaina Sunrise, North Hawaii, Pearl Harbor, Pearlridge, Poipu Beach, Volcano, Wahiawa-Waialua, Waianae Coast, West Honolulu.
Large Club Division - 16 Clubs (42 Members and Above):
East Honolulu, Hanalei Bay, Hilo, Hilo Bay, Honolulu Sunrise, Honolulu Sunset, Honolulu, Kahala Sunrise, Kahului, Kihei-Wailea, Kona, Maui, Metropolitan Honolulu, South Hilo, Waikiki, Windward Oahu.
CLUB OF THE YEAR:
In consideration for the Club of the Year Award, the judges will designate points to the top 5 Clubs in 8 categories. The points will be tallied and the 5 Clubs with the most points will be credited as follows:
1st Place 5 Points
2nd Place 4 Points
3rd Place 3 Points
4th Place 2 Points
5th Place 1 Point
Club of the Year will be selected based on the total aggregate score from the following categories, plus 5 points for all Clubs completing the District Governor and Presidential Citations:

For the Awards Submissions, Club Presidents must complete the 1 page form, along with an essay section (up to 2 pages) for applicable categories.
Judging will be based on information submitted by Club Presidents who will judge a Division other than their own. This judging by Presidents or designated Club Representative is voluntary and anyone who prefers not to participate in the judging should notify the District Awards Chair by 5/31/10. This year, the large clubs will rate the small clubs, the medium clubs will rate the large clubs, and the small clubs will rate the medium clubs. The Club results will then be reviewed by the District Governor and District Chairs.
GENERAL AWARD SUBMISSION RULES:
- Utilize the Master Check List to indicate what is being submitted.
- Utilize the check-off form for the Avenues of Service awards.
- All essay are limited to 2 pages and should be typed in a 8 1/2 x 11 letter-size format.
- The font will be Times New Roman (12Pt)
- The submissions will contain no logos, graphs, pictures or letterhead.
- The project must have started and completed during the current Rotary year except for International Service projects which will be recognized in the year of completion.
- The same project cannot be recognized for more than one submittal.
- Submissions that are late will NOT BE ACCEPTED.

RI PRESIDENT'S CITATION (Due March 31, 2010):
The purpose of the Presidential Citation is to increase Rotary club involvement in service activities, while at the same time encouraging Rotarians' personal involvement in serving others and promoting a high standard of Rotary service in the community. The award is revised on an annual basis by the RI President and traditionally highlights the President's theme.
Eligible nominees Rotary clubs in good standing are eligible to receive the award. To qualify, a Rotary club must achieve the membership goal of a net increase of at least one member by 3/31/10 and complete an activity from 3 of the 6 categories listed in the 2009-10 Presidential Citation Brochure. This RI President's Citation is awarded by Rotary International.

DISTRICT GOVERNOR'S CITATION (Due May 31, 2010):
The District Governor's citation will encourage clubs to be well-rounded by the Club President bringing in a new member during the year and by completing at least one activity in each of the areas of Literacy, Education, Peace, and Youth.

MEMBERSHIP AWARDS:
Membership is a critical component to the success of any club. This involves membership growth, development, involvement, training, retention and extension. Social functions and club harmony are important ingredients to increase club membership. The top 5 clubs can earn 1 to 5 points for Membership Development and 1 to 5 points for Percentage Membership Growth.
Membership Development Award: (Due May 31, 2010) Effective membership growth begins with a plan. This award celebrates those clubs who have developed an overall program encompassing all the elements of membership. A first and second place award will be given in each of the four divisions.
Percent Membership Growth: (no form to submit)
This award is calculated based on the net percentage membership increase from July 1, 2009 thru June 30, 2010. There will be one award given in each division. ****For purposes of this award only, those clubs who allowed members to transfer to a newly formed club may include these members in their ending membership count. New club membership growth will be calculated on membership on June 30, 2010. Number of member information will be obtained from the RI website on 6/30/10.
SERVICE PROJECTS AWARDS:
COMMUNITY SERVICE AWARD (Due May 31, 2010):
Service defines Rotary's character; whether local or international, it promotes Rotary's appeal and visibility in the community, and is the reason Rotary continues to grow.
Community service responds to the needs of a local community. Rotary clubs should determine top priorities for service projects by first learning about a community's needs and assets and then developing a response that addresses them.
An effective service project:
- Responds to a real issue, not an imagined one.
- Improves the lives of community members.
- Incorporates the abilities of those who are served.
- Recognizes all participants' contributions as important and necessary.
- Comes from a realistic assessment of resources available.
- Aims for specific goals and objectives with measurable results.
- Builds a working network
Special consideration will be given to those clubs who participated in multi-club projects.
VOCATIONAL SERVICE AWARD (Due May 31, 2010):
As business leaders, Rotarians share their skills and expertise through vocational service, one of the Four Avenues of Service. Your vocational service efforts can play a vital role in improving the quality of life for those hardworking members of the community who need direction and expertise. A Vocational project can involve any of a number of vocational service activities - mentoring, career days, vocational awards, business assistance, or even talking about your job at a club meeting - you can turn your experience into an invaluable resource for others.
YOUTH SERVICE AWARD (Due May 31, 2010):
This award is based on programs that benefit children and young adults. Working with schools, literacy projects, Interact & Rotaract Clubs are just some of the examples of New Generation projects. A first and second place award will be given in each of the four divisions.
INTERNATIONAL SERVICE AWARD (Due May 31, 2010):
This award involves projects that take place outside of the United States. International projects should identify a specific need that will improve the quality of life and benefit others within that intended area. Clubs are encouraged to submit applications for matching grants and projects can be done by one club or involve the participation of multiple Rotary Clubs. Other international projects involve the establishment of Sister Clubs, the sponsoring of Ambassadorial Scholars, Group Study Exchanges, Rotary Youth Exchange and other projects that promote cultural awareness and world understanding.
CLUB ADMISTRATION AWARDS:
CLUB SERVICE AWARD (Due May 31, 2010 ):
This award involves many of the programs revolving around the operations of your club and the weekly meetings. These items would include but are not limited to club programs, social functions, meeting ambiance, Family of Rotary inclusion, and attendance. Special consideration will be given to clubs participating in multi-club social events. First and Second place will be given in each of the four categories.
ATTENDANCE AWARD: This award is based on average percentage attendance for July 1, 2009 through May 31 2010 as reported on the D5000 website. Clubs are encouraged to report their May figures promptly. Only those clubs who have recorded their attendance by Jun 10th will be considered.
FOUNDATION AWARD (Contributions to TRF thru May 31, 2010):
There will be three awards within this category. The first award is for Total Annual Giving and the second award is for Per Capita Giving. These awards are based on contributions received by TRF through May 31, 2010. The third award will be given to a club based on participation in the programs of The Rotary Foundation. For the Club of the Year tally, these 3 categories will be weighted one-third each to come up with one number.
Total Annual Giving Award: There will be two clubs awarded (1st & 2nd Place) for each of the four club divisions. Total Annual Giving is the total amount that has been contributed to the RI Foundation by May 31, 2010 and doesn't have any bearing on the size of the club within the division.
Per Capita Giving Award: There will be a winner in each of the size categories (1st Place) for this award. Total Per Capita Giving is the amount that has been contributed to the RI Foundation by May 31, 2010 divided by the total membership population. Membership population is defined as the registered number of members that the club started with on July 1, 2009.
Foundation Participation Award (Due May 31, 2010): The Rotary Foundation is more than giving money. This award will be for clubs who have the highest percentage of their membership participating in Foundation Programs. This includes giving to TRF, NID's, GSE team, Ambassadorial Scholars, Matching Grants, Volunteer Service, etc.
PUBLIC RELATIONS AWARD (Due May 31, 2010):
For the Club of the Year tally, these 3 categories will be weighted one third each to come up with one number.
Website/Newsletter Award: This award recognizes those clubs that have worked hard to implement and maintain a quality club website and newsletter. One of the goals of Rotary is to increase awareness and the Internet is an entity that helps to facilitate this awareness. Many clubs are using the website for their membership directory, weekly news bulletin, event announcements and club pictures. Websites are able to provide timely information to almost anyplace in the world. Some clubs are using the web instead of mailing newsletters for those members that have missed a meeting. A panel of judges will be put together to judge the various websites. The judging criteria will be based on:
- Timeliness: How timely is the information that is contained on the website and how often is it updated?
- Content: How is the overall content of the website? Does it provide adequate information to both members and guests that visit the website?
- Appearance: Is the website attractive and does it invite people to spend more time searching through the site.
- Navigation: How easy is it to navigate through the website to find the information you might be looking for?
- Search Criteria: If someone doesn't know the web address, how easy is it to find the website through the various search engines?
Newsletter Award: This award recognizes those clubs that have maintained effective communications with their members by the publication and distribution of a newsletter. Criteria will include appearance, content, timeliness, consistency, and availability to all members.
Public Relations Effectiveness Award: Clubs are encouraged to document each time they receive favorable publicity - whether in print, radio, television, or by community acknowledgement.
CLUB AWARDS:
SPIRIT AWARD (Due May 31, 2010): This award will be given to one new member that has demonstrated involvement and embodies the true spirit of Rotary. Each club president needs to select one new member for this award. A new member is one that has been a member for less than one year. Presidents can submit the member's name anytime before May 31st deadline and the award will be presented at a club meeting.
QUIET ROTARIAN AWARD (Due May 31, 2010): This award will be given to one member per club that has demonstrated Rotary involvement in a quiet fashion and normally does not receive recognition for doing good work. Each club president needs to select one member for this award. Presidents can submit the member's name anytime before May 31st deadline and the award will be presented at a club meeting.
RI's FOUR AVENUES OF SERVICE AWARD (Due March 31, 2010):
Recognizing that the strength of the Rotary movement is founded on the service carried out by club members worldwide, this citation program provides a means for Rotary clubs to personally recognize one member of the club for his/her outstanding efforts in the Four Avenues of Service.
Note that clubs may submit the nomination at any time during the year until the final RI deadline of June 30, 2010. In order to receive recognition by Rotary Yearend, the Four Avenues of Service Award must be submitted by March 31, 2010. This award may be presented at the club level at any time during the year.
Eligible nominees Candidates for nomination should be Rotarians in good standing in their clubs who have consistently demonstrated their support of the Object of Rotary through participation in service activities in each of the avenues of club, vocational, community, and international service. Only one person per club may be nominated per year. Current club presidents and immediate past and current district governors are not eligible.
Selection process Clubs nominate one candidate utilizing the RI nomination form. The club president must endorse the nomination form and submit it to RI Headquarters, with a duplicate copy provided to the district governor.

ROTARY INTERNATIONAL AWARDS:
In addition to the District Level Awards, Rotary International has several awards of which clubs should be aware:
RI SIGNIFICANT ACHIEVEMENT AWARD (Due February 15, 2010):
The purpose of this RI award is to recognize one outstanding club that performed an activity which addressed a significant problem or need in the community. Competition and selection of entries takes place at the district level. No club may receive a Significant Achievement Award more than once for the same project.
Eligible nominees Outstanding club projects that meet the following criteria are eligible to receive the award. Projects must:
- Address a significant problem or need in the local community.
- Involve most or all of the club members in personal rather than merely monetary service. The project also should be commensurate with the club's size and resources.
- Be capable of emulation by other Rotary clubs.
- Be currently active or reach a conclusion during the Rotary year for which the award is given.
- Be carried out by a single Rotary club.

The nomination form must be submitted to the Awards Chair by February 15 for committee judging. Committee will provide nomination to the DG by March 1 for submittal to RI. Nomination must be received by RI by March 15.
ROTARY INTERNATIONAL RECOGNITION OF SMALLER CLUB MEMBERSHIP GROWTH: (July 1 - May 15)
This award is given by Rotary International to encourage membership development in those clubs with fewer than 20 members. The District Governor submits the names of all clubs that have achieved growth to the next level. Each recognized club will receive a certificate signed by the RI President.
RI MEMBERSHIP DEVELOPMENT AND EXTENSION AWARD (July 1 - May 15)

RI RECOGNITION OF MEMBERSHIP DEVELOPMENT INITIATIVES (Due April 15)
RI recognizes up to three clubs from each district that develop and implement creative strategies that have a positive impact on membership in their area. Guidelines for Clubs can be found in the submission form and on the RI website.
BEST COOPERATIVE PROJECTS AWARD (Due March 15)
This award recognizes a project that was undertaken in collaboration with a non-Rotary organization. The project must have been a service activity that addresses a humanitarian need. Projects that required active involvement of Rotarians will be given priority. The project must have been well established during the 12 months prior to March 15th.
